Our verdictNotion is the tool we recommend first to anyone building an online business solo. The free plan is genuinely powerful — unlimited pages, unlimited databases, and enough structure to replace your note-taking app, task manager, content calendar, and basic CRM in one place. The learning curve is real and the first week is frustrating. After that, it saves hours every week. We also sell a Notion template (Break Free OS) which means this review is directly relevant to our business — and we stand behind it.

What Notion actually is

Notion is a workspace app combining documents, databases, wikis, and project management in a single flexible interface. Everything is a block — text, images, tables, checklists, embeds — inside pages that can be nested, linked, and shared.

The key differentiator is the database: a table where each row is a full page. Build a content calendar (each row is a blog post with status, publish date, and linked draft), a CRM (each row is a contact with interaction history), or a revenue tracker (each row is a product with linked sales data). Same tool, infinite configurations.

Who it is and is not for

Key features

Pages and databases

Pages are documents. Databases are tables where each row is a page. The magic is relationships between them — a content calendar row (blog post) linked to a client row (CRM) linked to a task list (project management). Everything connected, nothing duplicated. This interconnectedness is what replaces multiple separate tools.

Multiple views

Any database can display as table, kanban board, calendar, gallery, or timeline. We view our content calendar as a calendar to see publish dates visually, then switch to board view to drag posts between Draft, In Review, and Published. Same data, different perspective. This alone replaces Trello and a spreadsheet.

Notion AI (add-on)

Available at $8/mo on any plan, Notion AI generates text, summarises pages, translates content, and fills database properties automatically. We use it for first-draft blog outlines inside our content calendar. Quality is GPT-4 level — not as strong as dedicated ChatGPT prompting, but the integration is smoother for in-workspace content generation.

Template gallery

1,000+ community templates covering everything from personal finance to startup operations. Quality varies significantly. The best templates cut workspace setup from 4-8 hours to 30 minutes. The Break Free OS is our contribution to this category — a complete business operating system for creators.

How we run Break Free on Notion

Notion is the operating system for our entire business. What lives there: a content calendar with 6 weeks of planned content across all channels; a revenue tracker logging every product sale and affiliate commission; a quarterly goal framework with weekly review pages; a tool database (the research behind reviews like this one); and a partnership CRM. All of it in one workspace. Built once, used daily.

Time saved per week from centralising into Notion versus the 4 tools it replaced: approximately 2 hours. That compounds to 8 hours per month, 96 hours per year — roughly equivalent to 2.5 full work weeks reclaimed annually.

Honest opinion

Notion has a real learning curve — the first week is overwhelming because the blank canvas gives you no structure or guidance. That is why we built the Break Free OS template: to remove that friction. If you are willing to invest 4-6 hours setting it up properly (or 30 minutes with a good template), Notion will be the last productivity tool you ever buy. If you want something to work immediately with zero learning investment, start with a simpler tool and come back to Notion when you are ready.

Pros & cons

Pros

  • Free plan is genuinely powerful for solo operators with no time limit
  • Replaces note-taking, project management, CRM, and content calendar in one tool
  • 1,000+ templates mean you do not have to build from scratch
  • Available on all devices with offline access
  • Selling Notion templates is a legitimate digital product income stream

Cons

  • Steep learning curve — first week is genuinely frustrating without a template
  • Notion AI costs $8/mo extra on top of the plan price
  • Not as analytically powerful as Airtable for complex relational data
  • Large databases with thousands of entries can load slowly
  • No native integrations — need Zapier or Make.com to connect to other tools

Frequently asked questions

Is Notion free forever?
Yes. The free plan has no subscriber limit or time limit. Unlimited pages, unlimited blocks, 10MB file upload limit, and 7-day version history. The limit that pushes most people to Plus is the file upload size (10MB free vs unlimited on Plus). For most solo operators, the free plan is enough indefinitely.
Do I need the Notion AI add-on?
Not necessarily. Notion AI at $8/mo is useful if you want AI-generated content directly inside your workspace — outlines, page summaries, action items from meeting notes. If you already use ChatGPT externally and copy output into Notion, the AI add-on is redundant. It is a convenience feature that saves context-switching, not a core capability.
Can I manage clients in Notion?
Yes. Build a client CRM — a database with client names, contact details, project status, meeting notes, and deliverables, all linked together. Share specific pages with clients via public link or guest invitation. For solo operators managing up to 10-15 clients, Notion is entirely sufficient without dedicated CRM software.
Can I sell Notion templates?
Yes, and this is a legitimate income stream. Duplicate your workspace as a shareable Notion template, list it on Gumroad or your own checkout, and promote it to your audience. Template prices range from $15 to $197+ depending on complexity. We sell the Break Free OS for $19 — it was the first digital product we validated.
